  1. Company Registration:
    How to register a company?
  • Open BOX App in your mobile phone.
  • Click on register your organization.
  • Fill in the required details.
  • The company registration will include mobile, email id, & password details which will be required for admin’s login process.
  • After completing the company registration process, login screen will be displayed.
  • Note: A company can even get registered without logo, and GST number.
  1. Admin:
    How to create admin?
  • At the time of company registration process, provide the mobile number/email id of the concern person whom the company wants to be as admin.
  • Note: The person creating the company will be by-default considered as the admin.
    How to login as admin?
  • Open BOX App.
  • Enter the credentials mentioned during the company registration process.
  • On the initial login, a pop-up screen will appear for selecting the mode for OTP verification i.e. by SMS or via email.
  • Click on the desired mode for OTP verification.
  • Enter the OTP received.
  • Click on the verify button for completing the first time admin login process.
  • After the verification gets completed login screen will be displayed, click on login button.
    How to create User?
  • Open BOX App.
  • On admin dashboard, click on Settings Tab.
  • Click on Users button, a new screen will appear.
  • Click on the “Add Employee Icon” at the bottom right corner.
  • A new screen of add user form will appear.
  • Enter the required details and precisely select role of the user.
  • Click on add button for completing the user creation process.
    How to set configuration for User Attendance?
  • Open BOX App.
  • On admin dashboard, click on Settings Tab.
  • Click on “App Settings.”
  • A new screen for App settings will be displayed.
  • Under attendance, swipe right the toggle button for activating attendance module.
  • After attendance turns active, click on settings icon.
  • From the list below, select the users you want to valid for attendance module.
  • After selecting the desired users, click on apply button.
  • Once the attendance gets configured, a new option for allotting attendance type will appear i.e. selfie based attendance feature.
  • Note:Click on check all button for selecting all the users at a time. Click on uncheck all button for deselecting all the users at a time.
    How to set configuration for Selfie Based User Attendance?
  • Open BOX App.
  • On admin dashboard, click on Settings Tab.
  • Click on “App Settings.”
  • A new screen for App settings will be displayed.
  • Under Selfie Attendance, swipe right the toggle button for activating the selfie based attendance feature.
  • After the selfie based attendance turns active, click on settings icon.
  • From the list below, select the users you want to be applicable for selfie based attendance.
  • After selecting the desired users, click on apply button.
    How to set configuration for User Expense?
  • Open BOX App.
  • On admin dashboard, click on Settings Tab.
  • Click on “App Setting.”
  • A new screen for App settings will be displayed.
  • Under Expense, swipe right the toggle button for activating the expense module.
  • After the expense turns active, click on settings icon.
  • From the list below, select the users you want to be applicable for expense module.
  • After selecting the desired users, click on apply button.
  • Note: Click on check all button for selecting all the users at a time. Click on uncheck all button for deselecting all the users at a time.
    How to set Company Management?
  • Open BOX App.
  • On admin dashboard, click on Settings Tab.
  • Click on “Set Management.”
  • Click on the desired user role button i.e. Approver or Accountant
  • From the list below, tap on the name of a user to be applicable for the selected user role.
  • In order to change the management of the desired user, click on the pencil/edit icon towards the right corner of employee’s name.
  • From the list below, tap on the name of a user to be applicable for the selected user role.
  • A confirmation dialogue box will appear in order to initiate the process of switching user role.
  • For continuing the process, click yes.
  • Click cancel in order to change the user name.
  • The pre-existing user management list will be derived from the process of creating user with the assigned user role.
    How to add Expense Head/Type?
  • Open BOX App.
  • On admin dashboard, click on Settings Tab.
  • Click on Add Expense Type.
  • A new screen for adding new expense head/type will appear.
  • Create the desired expense type by entering the details as required.
  • Click on save button for completing the process.
  • Note: If any expense head/type has been created earlier then the pre-existing list will appear on the screen along with the edit icon.
    How to edit Expense Head/Type?
  • Open BOX App.
  • On admin dashboard, click on Settings Tab.
  • Click on Add Expense Type.
  • The pre-existing list of expense head/type will appear on the screen.
  • Click on edit icon towards the right corner of the expense head/type.
  • Make the desired changes in the auto-filled details under expense type and expense code.
  • Click on save button for completing the process.
    How to add Holiday?
  • Open BOX App.
  • On admin dashboard, click on Settings Tab.
  • Click on Add Holiday.
  • A new screen for adding holiday will appear.
  • Select the date from the calendar and enter the holiday name.
  • Click on save button for completing the process.
    How to Export Attendance Report?
  • Open BOX App.
  • On admin dashboard, click on Reports tab or click on Menu icon on the top left corner and select reports.
  • Select the desired user name from the drop-down menu.
  • Select From & To date from the calendar.
  • Click on the export attendance report button.
  • The report will be shared via email on the registered email id.
  • Note: The drop-down list will by-default display the All Employees option for exporting the desired reports.
    How to Export Expense Report?
  • Open BOX App.
  • On admin dashboard, click on Reports tab or click on Menu icon on the top left corner and select reports.
  • Select the desired user name from the drop-down menu.
  • Select From & To date from the calendar.
  • Click on the export expense sheet button.
  • The report will be shared via email on the registered email id.
  • Note: The drop-down list will by-default display the All Employees option for exporting the desired reports.
    How to View Desired User’s Attendance?
  • Open BOX App.
  • On admin dashboard, click on Reports tab or click on Menu icon on the top left corner and select reports.
  • Select the desired user name from the drop-down menu.
  • Select From & To date from the calendar.
  • Click on view attendance button.
  • A new screen with the list of selected user’s attendance details will appear.
  • Note:If a user is configured under selfie-based attendance feature, an i” icon will appear beside the timings. Click on “i” icon to view the image of the user.

    How to set User password during the initial login?
  • Open BOX App.
  • Enter the registered mobile number.
  • Click on Login
  • If the provided mobile number is not verified, a dialogue box for OTP verification will appear.
  • Enter the OTP received via SMS.
  • Enter your new password and confirm the new password.
  • Click on verify button for setting the new password and completing the initial user login process.
    How to login as User?
  • Open BOX App.
  • Enter your mobile number and password.
  • Click on Login button.
  • Note: An alert BOX will be displayed on screen if a user is both employee and admin of the registered company. Select the desired option for the further access to the BOX App.
    How to reset Login Password?
  • Open BOX App.
  • Enter your mobile number and click on forgot password.
  • Enter the new password.
  • Click on Request OTP button.
  • Enter the OTP received.
  • Click on Verify button.
  • Password reset successfully.
    How to add Attendance?
  • Open BOX App.
  • On User Dashboard, click on Menu icon on top left corner.
  • Select Punch Attendance from the menu.
  • Attendance dashboard will appear on screen.
  • Click on Punch Attendance icon on bottom right corner to add your “today’s” attendance.
  • If non-selfie based attendance is configured, check-in and check-out button will be displayed on screen.
  • Click on check-in button to mark “today’s” attendance.
  • And click on check-out button to mark the end of the day.
  • If selfie-based attendance is configured, add image icon will be displayed on the screen.
  • Click on add image icon on the screen.
  • Capture your selfie and click on done button to mark your “today’s” attendance.
  • To mark the end of the day, repeat the same process as above.
    How to view Attendance Summary?
  • Open BOX App.
  • On User Dashboard, click on Menu icon on top left corner.
  • Select Punch Attendance from the menu.
  • Attendance dashboard will appear on screen.
  • Select the month from the calendar.
  • Click on view summary button towards the right corner of the calendar.
  • The list of day-wise attendance for the selected month will appear on the screen.
    How to view Holiday List?
  • Open BOX App.
  • On User Dashboard, click on Menu icon on top left corner.
  • Select Punch Attendance from the menu.
  • Attendance dashboard will appear on screen.
  • Click on Holiday List button.
  • List of Holidays prepared by the admin will be displayed on screen.
    How to add Expense?
  • Open BOX App.
  • On User Dashboard, click on Menu icon on top left corner.
  • Select Expense from the menu.
  • Expense dashboard will appear on screen.
  • Click on add expense icon at the bottom of the page.
  • Select the expense type and enter the required information.
  • Click on Add button to add the expense.
  • Note: Do not forget to add the appropriate attachment for the expense. For multiple expenses, repeat the same process. Expense module will only be active in the Home Menu if it has been applicable to the user. If not applicable, it will be appear as disabled.
    How to apply expense for approval?
  • Open BOX App.
  • On User Dashboard, click on Menu icon on top left corner.
  • Select Expense from the menu.
  • Expense dashboard will appear on screen.
  • List of date-wise expenses will be displayed.
  • Click on apply for approval button towards the right corner of the expense.
  • Approver will receive notification for approval.
  • Once the approver process the expense, employee will be notified for the same.
    How to delete expense?
  • Open BOX App.
  • On User dashboard, click on Menu icon on top left corner.
  • Select Expense from the menu.
  • Expense dashboard will appear on screen.
  • List of date-wise expenses will be displayed.
  • Click on the expense to be deleted.
  • A new screen with the details of the selected expense will be displayed.
  • Click on delete icon on the top right corner.
  • A confirmation box will appear.
  • Click on yes to delete the selected expense.
    How to view Expense Transaction?
  • Open BOX App.
  • On User Dashboard, click on Expense button.
  • Under Expenses, click on desired segment to view the transaction.
  • For example, to view the transaction of unapproved expenses, click on unapproved segment under Expenses.
  • List of unapproved expenses will be displayed on screen.
    How to return Balance Amount to Accountant?
  • Open BOX App.
  • On User Dashboard, click on Expense button.
  • Under Expenses click on transfer money to accountant button at the bottom of the page.
  • Enter the amount to be refund/returned.
  • Click on Return button to complete the process.
  • Accountant will receive the acceptance of payment notification.
  • Note: If the balance is greater than zero, only then an employee will be able to refund/return amount to accountant.
  1. User as Approver:
    How to view expenses?
  • Open BOX App.
  • On User Dashboard, click on Expense button.
  • Under Expenses, click on desired segment to view expenses made by users.
  • For example, to view the list of rejected expenses, click on rejected segment under expenses.
  • The list of rejected expenses made by users will be displayed on screen.
    How to Approve Expenses?
  • Open BOX App.
  • On User Dashboard, click on Expense button.
  • Under Expenses, click on Unapproved segment.
  • Summary list of unapproved expenses along with the user name will be displayed on screen.
  • Click on the desired user name.
  • List of unapproved expenses for the particular user will be displayed.
  • To approve all the expenses made by the selected user, click on check all button.
  • Click on Approve button to complete the process.
    How to Review Individual Expense?
  • Open BOX App.
  • On User Dashboard, click on Expense button.
  • Under Expenses, click on either Unapproved or Partially Approved segment.
  • Summary list of the selected segment will be displayed on screen.
  • Select the desired user from the list.
  • List of expenses made by the selected user under selected segment will be displayed on screen.
  • Click on review button of desired expense from the list.
  • Enter the amount to be approved (status of the expense will be changed according to the amount entered).
  • Fill in the required information.
  • Click on submit button to the complete the process.
  • Note: If an approver wants to partially approve the expense or reject the expense, click on Is Settle check-mark box and Submit button to complete the process.
    How to Export Expense Reports?
  • Open BOX App.
  • On user dashboard, click on Menu icon.
  • Select Reports from the menu.
  • Select From & to date from the calendar.
  • Click on expense report button.
  • The report will be shared via email on the registered email id.
  • Note: The drop-down list will by-default display All Employee option for exporting the desired reports. To export expense report of a particular user, select the user from the drop-down list and repeat the above process.
  1. User as Accountant:
    How to send money to user?
  • Open BOX App.
  • On user (accountant) dashboard, click on expense button.
  • Click on transfer money to user button at the bottom of the page.
  • List of users will be displayed on screen.
  • Select the desired user.
  • Enter the amount.
  • Click on send button.
  • Notification for the acceptance of payment sent by the accountant will be received by the user.
